Sensitive information is handled with a greater level of protection of privacy than other personal information.

I may request to collect certain personal information from you if you choose to visit this website, become my client, or engage with me in other ways. The information you provide may include:

• information relating to the services I am providing you, such as your current health status, previous and family health history, current and past medications and treatments, results from pathology testing or other investigations, dietary habits, and lifestyle factors
• information used in my communications with you and your participation in workshops, events, and other offerings held by me
• financial information such as credit card or banking details for processing payments online via my website or in person

I may collect your personal information, taking steps that are reasonably secure, including:
• in person or online, when you contact me with enquiries, questions, correspondence or comments via telephone, text message, email, my website, from media and publications or other publicly available sources, from cookies, and from third parties such as Facebook, Instagram, and other social media platforms
• when booking and during an appointment with me
• when you visit my website
• when you sign up for my newsletter
• when you sign up for any of my workshops, events or other offerings
• I may collect your IP address and information to help me improve usability and appeal of my website

I may collect and use this information:
• for the primary purposes for which it was obtained, such as health information provided during a consultation with me to inform the treatment plan
• to provide services to you at your request, including iridology, sound healing, and yoga
• to respond to your enquiries, questions, correspondence, or comments
• to improve, personalise and expand my services and offerings
• to send you marketing communications
• to understand and analyse how you use my services
• with your consent, for a secondary purpose that is directly related to the primary purpose, or where required by law

Security and storage of personal information

While your personal information is in my possession or control, I will use all reasonable efforts to protect the privacy and confidentiality of your personal information from misuse, interference, loss, unauthorised access, modification, and disclosure. I use the practice management software, Cliniko, as a third party provider to securely store your personal information and client health records online. Please refer to the ‘Cliniko’ website for additional privacy information regarding your client health records here. Client records as paper documentation are stored in a locked storage box to ensure they are safe and secure. If you communicate with me via electronic means such as email, contact forms, Facebook, Instagram or Zoom, I do not have full control over the transmission or storage of any personal information disclosed. You agree that by participating in such forms of communication you understand and accept that there is an inherent risk of disclosure or loss of your personal information for which I cannot be held accountable.

Disclosure of personal information

I may be required to disclose your personal information in certain circumstances, including:
• if we both agree that another practitioner could help you further, and with your consent, I may share your personal information with other healthcare professionals. In such cases, you are in control of what information I share with which health professionals. Such health professionals may include a general practitioner, other naturopath, herbalist, nutritionist, counsellor, psychologist, massage therapist, osteopath or chiropractor
• when required by law, or in circumstances permitted under the Privacy Act, I will disclose your personal information, such as if I have reasonable grounds to suspect unlawful activity or misconduct of a serious nature that relates to my functions or activities that has been, or may be engaged in, and in response to a subpoena or court order

Disclosure of personal information with third parties

I may share relevant personal information with certain third parties such as service providers that assist me in supplying the information and/or services that I provide to you. In these situations, your personal information will be managed according to their privacy and security policies. These third parties include:
• Cliniko – I use this practice management software for the purposes of recording health data and for administrative purposes including invoicing and processing online payments. Cliniko privacy policy here
• Vital.ly – an online ordering system, for the purposes of prescribing your supplements and other products, which are posted directly to you. Vital.ly privacy policy here
• MailChimp – my email marketing provider, for the purposes of providing you with my newsletter, information, and updates about my services and offerings. MailChimp data security and privacy policy here
• Google Analytics – an online service, for the purpose of tracking my website usage which may capture your IP address but no other personal information. Google Analytics privacy policy here

Confidentiality and third parties

I will use all reasonable means to protect the confidentiality of your personal information while in my possession or control. I will not knowingly share any of your personal information with any third party other than the service providers who assist me in providing the services and/or information I am providing to you. To the extent that I do share your personal information with a service provider, I would only do so if that party has agreed to comply with our privacy standards as described in this Privacy Policy.

Where reasonable and practicable to do so, I will collect your personal information directly from you. In some circumstances, however, third parties may provide me with your information. In such circumstances, I will take reasonable steps to ensure you are made aware of the information provided to me by the third party.

Disclosure of personal information overseas

I will use all reasonable means to protect the confidentiality of your personal information while in my possession or control. I will not knowingly share any of your personal information with any third party other than the service providers who assist me in providing the services and/or information I am providing to you. To the extent that I do share your personal information with a service provider, I would only do so if that party has agreed to comply with our privacy standards as described in this Privacy Policy. However, some of my service providers may be overseas and may not be subject to Australian Privacy Laws or compliant with the General Data Protection Regulation (GDPR). Please contact me if you have any concerns about the potential disclosure of your information.

Opting out of marketing communications

I may send you information, newsletters, and updates about my services and offerings. I will only do so if you have requested to receive such information by becoming a client of mine, or through signing up to my newsletter via my website, at an event, workshop or other offerings. You may unsubscribe from receiving further such communications by clicking the ‘unsubscribe’ option at the bottom of any marketing email sent from me, or by contacting me directly via ar.medicinewoman3@gmail.com or 0400 854 044.

Access, updating and correcting personal information
You can access, update, correct or delete your personal information at any time by contacting me either via ar.medicinewoman3@gmail.com or 0400 854 044. However, I may be permitted to refuse to give you access to your personal information in certain circumstances under the Privacy Act. Some examples of these circumstances include where giving access would be unlawful or have an unreasonable impact on the privacy of other individuals, or where I reasonably believe that giving you access would pose a serious threat to the life, health or safety of any individual, or to public safety or public health. If you request to correct your personal information, I will correct the information, or, if I consider it more appropriate, note your request for amendment of the information on your record.

Your right to not provide personal information

You may choose not to provide me with your personal information. However, I may not be able to offer you the most suitable or appropriate treatment for your health concern if you do not provide me with accurate information about your health. You must provide me with full and accurate information about your diagnosed medical conditions and injuries, any medications and supplements you are taking, and any known allergies and intolerances to ensure the safety of treatment and check for possible pharmacological interactions with any herbs or nutraceuticals that I may prescribe.

Notification of breach

If I have reason to suspect that a data breach has occurred and that this may result in harm or loss to you, I will immediately assess the situation and take appropriate remedial action. If I still believe that you are at risk, I will notify the Office of the Information Commissioner and either notify you directly, or if that is not possible, publicise a notification of the breach on this website.

Destruction of personal information

When your personal information is no longer needed for the purposes for which it was obtained, I will take reasonable steps to destroy or completely de-identify such information. Most personal information is or will be stored securely in client files, which will be kept by me for a minimum of 7 years following your last consultation.

Notification of changes to this policy

I may review and change this Privacy Policy at any time and for any reason. When there is a new revised version of the Privacy Policy on this website, the “last updated” date will be amended. You are encouraged to periodically review this Privacy Policy to stay informed of updates. By continuing to use this website after such changes, you will be deemed to have been made aware of, have accepted, and will be subject to the changes in any revised Privacy Policy.
